Part-time, 3 days a week for a total of 22.5 hours. Monday-Friday, 8:45-5:15pm, work days cannot be consecutive. Occasional weekend hours.
Three previous years administrative experience, with some college and/or business school training; excellent organizational, interpersonal, and communication skills; ability to interact with volunteers and staff at all levels; able to prioritize work and maintain total confidentiality; be self-motivated and have the ability to work independently; professional appearance; able to be flexible, calm and handle multiple tasks in a fast-paced environment. The right candidate should be proficient in Microsoft Office and have prior experience with database systems, preferably Volgistics, a volunteer management database.
PRIMARY DUTIES AND RESPONSIBILITIES:
This part-time position (22.5 hours per week) provides administrative support for The Franklin Institute’s Volunteer Department. The Volunteer Department coordinates more than 1600 volunteers and interns providing over 80,000 hours of service annually. Prepare and process volunteer data in a timely manner via Volgistics (i.e., new starts, terminations, status changes etc.). Coordinate and process required background checks for volunteers. Assist Director of Volunteer Programs and Volunteer Programs Coordinator with recruitment, scheduling, and coordination of volunteers for the annual Philadelphia Science Festival (April 20-28, 2018). Reply to email inquiries requesting volunteer and intern applications. Process applicant reference checks. Prepare and update material for new volunteer orientations. Organize and manage various filing systems. Provide administrative support to Volunteer department staff. Greet and assist volunteers and staff members. Answer and screen incoming calls when necessary. Order and maintain office supplies, including volunteer uniforms. Open and distribute incoming correspondence. Coordinate monthly volunteer birthday cards. Assist with special projects/events as needed, i.e., Volunteer Recognition Events. Assist with day-to-day functions (making coffee for volunteers, keeping kitchen and lounge area neat), and other related activities. Other job-related duties as assigned.
