Senior Administrative Assistant, Finance & Human Resources

Minimum Qualifications:
Associates or bachelor’s degree is highly preferred.  A minimum of 3 years’ experience working as an Administrative Assistant or Secretary supporting senior level executives in a professional office environment.  Strong computer skills including Word, Excel, PowerPoint, database entry, and creation of presentation graphics.  Strong verbal and written communication skills.  Demonstrated track record of working with highly sensitive and highly confidential information and keeping trust.  Experience with Board and donor management preferred.  Proven ability to work independently and multi-task in a fast-paced environment. Must have a strong customer service orientation with internal (The Franklin Institute) and external constituencies.


Primary Duties and Responsibilities:
The Senior Administrative Assistant handles the day-to-day office administrative needs of two Vice Presidents (Finance/IT and Human Resources) by preparing correspondences, scheduling meetings, managing both VPs calendars, handling phone calls, processing mail, making travel arrangements etc. Assist in all aspects of meeting preparations to ensure the executives are equipped to deliver high-quality support to the Board of Trustees, along with various other Committees. Serve as a liaison to Finance, IT, and HR external consultants and vendors. Transcribes records of conversations as assigned.  Create, edit, and update reports and proposals, narrative documents, presentations, financial worksheets, schedules and databases. Manage the VPs’ expenses and creates expense reports accurately and on time utilizing Concur.  Serves as back-up administrative support for other executives as needed.
