Institutional Giving Coordinator

Position Overview:

Assist with the execution and coordination of all institutional giving activities and supporting the efforts of front-line fundraisers. Provide high-quality administrative, content-development and writing support on both internal and donor-facing projects. Provide high quality support to donor-facing colleagues including Vice President of External Affairs, Director of Institutional Giving, and members of the institutional giving team.

Position Description:

Working as part of the Institutional Giving team, coordinate acquisition and renewal of donors to corporate and foundation giving programs and other Institute projects including the capital campaign, Philadelphia Science Festival and Awards Ceremony and Dinner, with activities including, but not limited to:

  • Continuously researching and identifying new potential sources of funding
  • Developing and implementing solicitation schedules
  • Drafting, preparing and mailing solicitation letters
  • Overseeing the acknowledgment of gifts
  • Assisting in development and implementation of effective cultivation and stewardship plans
  • Tracking revenue and maintaining an accurate sense of progress toward goal at all times
  • Assisting the Director of Institutional Giving, Assistant Director of Corporate and Foundation Grants, and Manager of Corporate giving with management of corporate contacts
  • Providing and fulfilling benefits
  • Contacting current and potential supporters to schedule meetings and/or share information about the Institute
  • Ensuring accurate data and contact information in master database
  • Coordinate all on-site and off-site arrangements; develop presentation materials and complete comprehensive preparatory information for Institute attendees; capture and record complete meeting debriefs; implement follow-up plans.
  • Provide high quality support to the Executive Corporate Committee and the Awards Corporate Committee  

Position Requirements:

To be successful, the Institutional Giving Coordinator must be able to perform each essential duty satisfactorily.  The minimum qualifications for this role is as follows:

  • College degree required with two or more years of development or related experience.  
  • Excellent writing skills, strong verbal communication skills and ability to communicate clearly with staff, donors, and organization leaders a must.  
  • A competency in Microsoft Office software and Raiser’s Edge is ideal; and knowledge of Galaxy is helpful, but not required
  • Additional experience in customer service setting preferred. 
  • Must be extremely detail-oriented and able to multi-task and prioritize requests from multiple people in a timely manner; a strategic thinker, strong writer, excellent proof-reader and highly attentive to detail. 
  • The position requires a proactive team player who wants to enjoy work and colleagues.  Must be a self-starter and have impeccable organizational skills. 
  • Excellent computer and phone skills are crucial.
  • Some evening and weekend hours are required. 
  • Knowledge of museum protocol is helpful, but not required.
