Human Resources Assistant

Position Description:

The Human Resources Assistant will provide administrative support on a daily basis to both the Human Resources department and the Volunteer department.  

  • Provide administrative support on a daily basis to both the Human Resources department and the Volunteer department 
  • Process and file employee paperwork to manual and/or online file system, along with employee file maintenance. 
  • Prepare, mail, and file various state and federal forms. 
  • Order, maintain, and ensure all office supplies are in stock.
  • Assists with the preparation of HR training sessions, New Employee Onboarding Program, and other professional development sessions as assigned. 
  • Greet and assist visitors and staff members. 
  • Open and distribute incoming correspondence. Answer and screen incoming calls when necessary.
  • Process employment verifications, volunteer verifications, tuition reimbursements, and other types of reimbursements when applicable. 
  • Prepare and execute job postings and maintain internal posting boards.
  • Assist with screening job applicants and the interview process, i.e. job posting, ads and resumes.
  • Update and maintain parking list, budget book and applicant log book.
  • Responsible for sending out employee birthday cards from the President and CEO in a timely manner. 
  • Provide backup assistance to the Human Resources Specialist with data entry in the HRIS system, including but not limited to, new hires, terminations, status changes, compensation changes, address changes, etc. 
  • Assist with the coordination of Lunch with the President and CEO events. 
  • Assist with internal employee communications (HR page on Almanac, etc.).
  • Responsible for coordination of ID badges for all new hires.
  • Responsible for ThinkHR administration and ADP recruitment module management.
  • Responsible for marketing and communications of the Volunteer department (Almanac, TFI website).
  • Provide maintenance of department shared drive. 
  • Responsible for supply ordering and organization. 
  • Pull monthly reports on Volunteer Birthdays. 
  • Responsible for training delivery preparation of classroom material and communications.
  • Attend volunteer/intern fairs, maintain websites, school contacts and TFI website.
  • Assist with Philadelphia Science Festival scheduling and coordination support. 
  • Maintain the volunteer suggestion box. 
  • Responsible for museum passes administration. 
  • Other duties as assigned.

Position Requirements

1-3 previous years administrative experience, with some college and/or business school training; excellent organizational, interpersonal, and communication skills; ability to interact with staff at all levels; proven ability to work for several professionals simultaneously; able to prioritize work; proven track record of independent work; solid experience with Microsoft Office; ability to maintain total confidentiality; professional appearance. Experience working with ADP systems preferred.
